Job Description Job Title: Patient Care Coordinator Location: On-site in Bala-Cynwyd, PA (close to Philadelphia) Start Date: ASAP Employment Type: Part-Time (Independent Contractor, 1099) Schedule: Four (4) days per week; 9am-5pm Compensation: Competitive hourly rate (based on experience) About the Tinnitus Treatment Center of Philadelphia: The Tinnitus Treatment Center of Philadelphia is a specialty clinic dedicated exclusively to helping people with tinnitus (ringing in the ears). You will work directly on-site with tinnitus treatment expert Dr. Gail Brenner, supporting patients who are actively seeking guidance and relief. The clinic is part of the Treble Health group, a nationally recognized tinnitus-focused organization. In addition to supporting the local Philadelphia clinic, you will collaborate with our national team and leadership team to ensure an exceptional and consistent patient experience. About the Role: We are seeking a highly organized, fast-paced, and technically savvy Patient Care Coordinator to support both in-person clinic operations and national team workflows. This is a patient-facing role that requires: Strong digital communication skills Comfort working across multiple software systems Speed, accuracy, and attention to detail A team-oriented mindset A proactive, solution-focused attitude You will play a key role in ensuring patients feel welcomed, supported, and guided from their first interaction through ongoing care. Responsibilities: Patient Care Coordination and Clinic Operations Serve as the first point of contact for patients in person, by phone, and via email Manage inbound patient calls, emails, and scheduling for in-person and telehealth appointments Conduct phone pre-screening and triage calls to route patients to the appropriate clinician or service Maintain a welcoming and professional front-desk environment Support Dr. Gail Brenner by ensuring accurate completion of intake forms, payments, and follow-up appointments Accurately document patient interactions in compliance with HIPAA Provide basic hearing aid technology support, including Bluetooth and app setup and basic troubleshooting Ensure clinic flow runs smoothly and efficiently National Team Collaboration Communicate regularly with Treble Health’s national PCC team to align on scheduling, documentation, and patient communication Use CRM, scheduling platforms, email systems, and telehealth software efficiently and accurately Participate in team meetings and collaborate with leadership to improve patient experience and operational efficiency Support centralized workflows that connect the Philadelphia clinic with national operations Marketing and Brand Support Assist with capturing short-form video clips or behind-the-scenes content when appropriate and with patient consent Support local brand visibility in collaboration with Treble Health’s marketing team Contribute ideas to improve patient education and engagement Qualifications: Excellent written and verbal communication skills Highly organized with strong attention to detail Technically proficient and comfortable learning new systems quickly Comfortable managing multiple digital platforms simultaneously Team-oriented and collaborative Positive, proactive, and dependable Previous experience in healthcare, audiology, medical front desk, or customer service preferred Familiarity with hearing aids or medical technology is a plus Timeline: ASAP : Begin training and onboarding in Bala Cynwyd, PA with additional remote training with the national Treble Health team To apply, please submit your resume and a short paragraph explaining why you are a strong fit for this role.
